Note: Attendees registered under the “Delegate/Listener” or “Accompanying” categories are not eligible to present research in oral or poster sessions. Delegate/Listener is allowed to attend all the conference sessions. The accompanying person fee is solely for issuing an invitation and visa support letter and does not include conference access.

Cancellation & Refund Policy
We realize that unexpected circumstances do arise, and so we provide a clear cancellation policy:
120+ Days Before PAWC 2025: Refundable, with an administrative fee of $200 waived. 
Less than 100 Days Before PAWC 2025: Refunds are not permitted, but you can carry forward your registration to another event. 
Refunds shall be made within 60 days of cancellation request. 

Unexpected Situations & Event Modifications
In the case of natural disasters, strikes, or other force majeure, we prioritize flexibility and safety:

  • Conference Status: The event will be rescheduled, postponed, or switched to online mode.
  • Refund Policy: Fees for registration and accommodation will not be refunded.
  • Transfer Option: Your registration can be transferred to a different PGC conference.
  • Liability Disclaimer: The organizers are not liable for any injury, loss, or damage before, during, or after the event.
     

Visa Support – We're Here to Help!
Although PGC does not issue visas, we provide Visa Support Letters to help with your application.
How to Request a Visa Support Letter:

  • Complete Your Registration – Ensure you are registered for PAWC 2025.
  • Send Identification – Scan the photo page of your passport and send it.
  • Institutional Support (if required) – Attach a formal letter from your institution.
  • Request Early – Submit early to process without delay.

Early application for visas is highly recommended to facilitate easy participation.
